Huddles
Start a video call inside any conversation, invite guests by link, and get the recording and transcript back in the same place.
A huddle is a video call that lives inside a conversation. When the call ends, the recording and its transcript are waiting in that conversation, next to the chat that led up to it.
Start a huddle
- Open a conversation and click Huddle in its header. To start from scratch, click the + at the bottom of the sidebar and choose Huddle - this creates a new conversation for the call, named after you (for example Maya's huddle).
- Turn on your microphone or camera if you want them. Both start off.
- Click Start now, or Create huddle when you started from the sidebar. You go straight into the call.
Every button that takes you into a call carries the same line: the huddle is recorded and transcribed, and shared with its participants. Joining means you agree.
How others join
- They get a ring. Everyone in the conversation sees a Huddle starting now prompt with Join call and Not now. Join call takes them straight into the call. People whose in-app notification level is Nothing are not rung.
- They join from the conversation. A Live now card with a Join call button appears in the conversation and takes them straight in. Its row in the sidebar turns red while the call is live.
- You add them. Click Add people in the lobby or in the call's people list and pick space members. They are added to the conversation and rung. Anyone added to the conversation another way while the call is live, such as with an @mention, is rung once too.
Join call in the conversation's header, and a huddle link opened on its own, show the lobby first. There you can check your camera preview and set your microphone and camera before you click Join call.
A huddle holds up to 8 people at the same time. It ends by itself 30 seconds after the last person leaves, or after 5 minutes if nobody joins.
Invite a guest
Guests are people outside your space. They need no account.
- By link. Every huddle has a short link such as
naumu.ai/h/abc-defg-hij. Copy it from the lobby, the huddle card, Add people, or the call's More menu. Whoever opens it types a name and joins. - By email. In Add people, type an email address. The guest gets an invitation with their own link.
A guest sees the conversation only from the line Guests can see the conversation from here onward, and can chat in it. They never see the rest of your space.
You stay in control of the link:
- Turn off Anyone with the link can join to make the huddle invite-only. Emailed invitations keep working.
- Click Reset link to replace the link. The old one stops working.
- After you remove a guest from a call, new guests can't join by link until you click Allow new guests.
In the call
The control bar holds your microphone and camera, Share your screen, Raise hand, Chat, and Leave.
- Chat opens the conversation beside the call. A counter on the button shows messages that arrived while it was closed.
- The arrow next to the microphone or camera button switches your microphone, speaker, or camera. The microphone's menu also turns Call sounds on or off.
- Hover a person's tile to Pin them.
- A Recording marker with the call's running time stays in the header for as long as the call is recorded. It reads Not recording if the recording stops.
- The people button at the right of the header shows how many are in the call. Click it to see who is there.
If you manage the huddle, a tile also offers Mute participant and Remove from call, the More menu has End huddle for everyone, and the pencil next to the title renames the huddle and its conversation.
Keep the call in view
You can keep working in Naumu during a call. Moving to another part of the app does not drop it, and the Huddle button and the huddle card in the conversation read Return to call.
- In the browser, click Pop out to move the call into a small floating window that stays on top. The call also pops out by itself when you move to another part of Naumu, and docks back when you return. This needs a browser that supports floating windows, such as Chrome or Edge.
- In the desktop app, the call opens in its own window. Shrink turns it into a small always-on-top tile, and Expand brings the full call back.
Schedule a huddle
- Click Huddle, then Schedule for later.
- Pick a day, a start time, and a length, then click Next: who is in.
- Pick members, type guest emails, and click Schedule.
A Huddle coming up card appears in the conversation, where each person answers Yes, Maybe, or No. Email guests get an invitation with a calendar file. Five minutes before the start, members who answered Yes or have not answered are rung, and guests get a reminder email.
Use Reschedule or Cancel on the card to move or call off the huddle. Rescheduling resets everyone's answer and emails guests the new time.
You can also ask Naumu in chat to start or schedule a huddle for you.
After the call
When the call ends you are back in the conversation, and the huddle card becomes a record of the call:
- How long it lasted and who joined. Click the faces to see who joined and who did not.
- The audio recording and transcript. The transcript names each speaker it can match to a person; the rest stay labelled by speaker number. Click any line to jump the recording to that moment. Meeting notes covers everything the transcript can do.
- A write-up from Naumu. If the call had at least 90 seconds of speech, Naumu replies in the conversation with a write-up.
Guests invited by email get the notes and the full transcript by email. Guests who joined by link do not.
On your phone
Huddles work in your phone's browser. The lobby and the call fit the screen, and the chat opens over the call. Screen sharing is not available on phones.
Who can do what
- Start, schedule, add people, invite guests, mute, remove, end for everyone - anyone who can edit the conversation can do these. Space owners and admins can do them in any conversation they can read.
- Join and talk - everyone else in the conversation, and guests.
